# 87. All Expense Report

[All Expense Report](https://autosoftware.company/oilPart_expense_report.php) lists every expense recorded in ARM for a period, one line per expense: outside part purchases, oil and part purchases, shop paid outs and every other expense account, with the supplier, the amount and how it was paid. It shows how much the shop spent, with whom and on what. Use it to see total spend for a month, to check what went through one supplier or one expense account, and to give your bookkeeper a complete list of outgoings.

## How do I run the All Expense Report?

1. From the Home Screen, click Reports → Shop Expenses & Vendor Reports → All Expense Report. The page is headed ALL EXPENSES REPORT.
2. Set the date range in the From / To selector. It opens on the first of this month to today. The range is matched against the date the expense was recorded.
3. To see one supplier, start typing in Supplier Name and pick the name from the list, or leave it empty for all suppliers. Part of a name is enough.
4. To narrow the report to one kind of expense, choose it in Select Account (see below), or leave it on Select Account for everything.
5. Click SEARCH to load the report. SHOW ALL clears the supplier and account and reloads for the same dates.
6. Click any column heading with arrows to sort by it; click it again to reverse the order.
7. Click [PRINT](https://autosoftware.company/mpdf/oilPart_expense_report_pdf.php) for a PDF copy or DOWNLOAD to export to a spreadsheet. Both buttons appear only when the report has found something.

## How do I read the two totals on the All Expense Report?

1. From the Home Screen, click Reports → Shop Expenses & Vendor Reports → All Expense Report, and run it for your date range.
2. Read the money Total: above the table. This is the report total: every expense the filters found, on every page. Example: $6,095.49 for 158 expenses in February 2026.
3. Scroll to the foot of the table. The row there repeats the column names and shows one figure under AMOUNT. That figure is the total of the lines on the page you are looking at, not the whole report. Example: $4,230.98 on page one.
4. Move to the next page and the foot row shows that page's total instead. Example: page two shows the remaining $1,864.51, and $4,230.98 + $1,864.51 = $6,095.49.
5. When every line fits on one page, the two figures agree. Example: 12 outside part purchases from 05-01-2026 to 06-30-2026 total $934.77 above the table and $934.77 at the foot: $11.80 + $20.04 + $38.97 + $132.00 + $112.00 + four at $34.99 + three at $160.00 = $934.77.

## About this screen

The Select Account list offers two groups first and then every expense account the store uses. Shop Expenses gives everything except oil purchases and part purchases. OPP Expenses gives the outside part purchases only, the parts bought in for a job. Below those comes each account on its own: Oil Purchases, Part Purchases, Shop Paid Outs, Bad Debt Expense, Customer Refunds and the rest of the store's chart of accounts. Sub-accounts are indented under their parent account, such as Royalty under Franchise Fees. An account marked (R) is a recurring expense such as insurance or equipment rental.

Above the table are two figures. The first Total: counts the expenses found. The second Total: is the amount of all of them together, for the whole report. Each line shows the ACCOUNT the expense was posted to, the AMOUNT, the SUPPLIER, the PAYMENT DATE, the INVOICE NO. (the supplier's own invoice or order number, not an ARM invoice), the PAYMENT TYPE such as Cash, a business cheque, a credit card or Vendor Charge Account, the CHECK NO. where a cheque number was entered, and a DESCRIPTION of what was bought. The report shows a limited number of lines per page; use the page numbers under the table to move through it.

The money figure above the table stays the same on every page, because it covers the whole report. Page two of a February run still reads Total: 158 Total: $6,095.49.

Choosing OPP Expenses in Select Account for the same month cuts the list to the outside part purchases. The two totals above the table change to match: Total: 150 and $5,177.54, against 158 and $6,095.49 for everything.

The printout is headed All Expense Report From with the dates you ran. It carries the same eight columns and prints every line in one continuous list rather than in pages. It lists the same expenses as the screen, line for line.

For a period's total spend, always use the money Total: above the table. To see purchases through one supplier listed and totalled supplier by supplier, run Expense Report by Vendor. For shop paid outs alone, with their account and recurring details, run Shop Paid Outs Expense Report.
