# 64. Customers Report

Customers Report is your customer list, one line per customer and vehicle, with their contact details, the vehicle on file, and whether they have agreed to be contacted by text or email. The screen itself is headed [Customer Report](https://autosoftware.company/clients_report.php). It has no date range because it describes who you have on file now. Use it to pull a mailing list, to check how many customers you hold contact details for, and to look up a vehicle when you have the plate but not the customer.

## How do I run the Customers Report?

1. From the Home Screen, click Reports → Fleet & Customer Reports → Customers Report.
2. Type a name, a plate or part of an address into Search to find particular customers.
3. Choose ALL CUSTOMERS, or narrow to fleet or non-fleet accounts, in Customer.
4. Choose ACTIVE, INACTIVE or ALL in Status. It opens on ACTIVE.
5. Click SEARCH to load the report. SHOW ALL clears the filters and reloads.
6. Click any column heading to sort by it; click it again to reverse the order. The list is split into pages with page links underneath.
7. Click DOWNLOAD to export to a spreadsheet. There is no Print button on this report.

## How do I list just my fleet customers?

1. From the Home Screen, click Reports → Fleet & Customer Reports → Customers Report.
2. Set Customer to the fleet option and click SEARCH. Total: drops to the number of fleet lines, and every line now reads Yes under Fleet?.
3. Click DOWNLOAD to take the list into a mailshot or a price review.

## How do I build a marketing list that respects opt-outs?

1. From the Home Screen, click Reports → Fleet & Customer Reports → Customers Report, and set Status to ACTIVE so closed accounts are left out.
2. Click SEARCH, then click DOWNLOAD to export the list.
3. In the spreadsheet, keep only the rows where Email Opt-In reads Yes before you send anything by email, and only the rows where SMS Opt-In reads Yes before you send a text.
4. Drop any row with a blank Email Address — the customer is on file but you have no way of reaching them that way, and the gap is worth filling at their next visit.

## About this screen

Filter before you read. A busy store holds a very large customer list — on a mature store the unfiltered report runs to tens of thousands of lines over thousands of pages — so the Search, Customer and Status boxes are how you make it useful rather than optional extras. Total: above the table tells you how many lines the current filters returned.

The first columns describe the customer. Customer Name, then Fleet? — Yes for a fleet account and No for an ordinary one — then the Contact Number and Alt. Phone No. held for them, and their Email Address.

The rest of the line describes the vehicle and where the customer lives. License Plate No., Vehicle Year, Vehicle Make, Vehicle Model and VIN identify the car, and Odometer is the last reading recorded against it. SMS Opt-In and Email Opt-In show Yes or No for whether the customer has agreed to be contacted that way. Address, City, State and Zip Code finish the line. A customer with more than one vehicle appears once for each of them, so the same name and contact details repeat down the page.

The DOWNLOAD button carries a spreadsheet icon but its tooltip reads "Print"; it exports to a spreadsheet, and there is no printed version of this report.
