# 2. Deleted Invoice Report

The [Deleted Invoice Report](https://autosoftware.company/delete_invoice_report.php) lists every invoice that was deleted from ARM, one line per invoice, with the customer, vehicle and money figures the invoice carried when it was deleted. Deleted invoices are kept for the record even though they no longer count in sales, so this is the report to reach for when an invoice number is missing from the sequence, when a customer disputes a charge that no longer appears, or when you want to see who has been removing work. It is found under Reports → Sales & Financial Reports → Sales Detail & Payments.

## How do I run the Deleted Invoice Report?

1. From the Home Screen, click Reports → Sales & Financial Reports → Deleted Invoice Report.
2. Set the date range with the From and To date pickers. The report opens on the first day of the current month through today, and it filters on the invoice date, not the date the invoice was deleted.
3. To narrow the list, type part of a customer name, invoice number, VIN or license plate into Search Text.
4. In the Select Type dropdown, choose Paid In Full to list only deleted invoices that had been paid, Unpaid/Partial Paid for the rest, or leave Select Type for both.
5. Click Search. Click Show All to clear the search text and type filter and list every deleted invoice in the date range.
6. Click any column heading to sort by that column; click it again to reverse the order. Long lists are split into pages, and the page numbers sit below the table.
7. Click [Download](https://autosoftware.company/export_report.php) to export the filtered list to a spreadsheet.

## How do I find out whether a missing invoice number was deleted?

1. From the Home Screen, click Reports → Sales & Financial Reports → Deleted Invoice Report.
2. Widen the From and To dates to cover the period the invoice was written.
3. Type the invoice number into Search Text and click Search. If the invoice appears, it was deleted; the line shows the customer, vehicle and amounts it carried.
4. If it does not appear, check the Voided Invoice Report and the Refunded Invoice Report in the same section, which cover invoices that were voided or refunded rather than deleted.

## About this screen

A summary line above the table gives the Total Gross, Total Sales Tax and Total Net Sales of the deleted invoices in the current filter. Each line shows the Invoice No., Invoice Date and Finalized Date, the Customer Name, then the money columns: Gross Sales, Sales Tax, Net Sales, Shop Fee, Haz. Waste Fee, Oil Sur Fee, Elec. Fund Trans., Tire Fee, Tire Disposal Fee, Battery Fee, Battery Disposal Fee, Smog Cert., Discount, Labor Amount and Part Amount. Gross Sales is the invoice total, Net Sales is the sale before tax and fees, the fee columns are the shop, hazardous waste, oil surcharge, electronic fund transfer, tire and battery fees charged on the invoice, and Labor Amount and Part Amount split the sale between labor and parts. The line then shows the payment Mode (cash, card, check and so on), the Payment Status (paid in full, unpaid or partially paid), the Smog Cert. No., the vehicle's License Plate No., the customer's Email Address and Contact No., the technician's Clock In and Clock Out times on that invoice, the Odometer reading, the VIN, and the Vehicle Year, Vehicle Make, Vehicle Model and Vehicle Engine Size. The TOTAL row at the foot of the table sums every money column for the invoices in the current filter, so the report also tells you how much sales value was removed in the period.

Because the report shows the customer's name, email address, contact number, license plate and VIN, keep exports in a safe place. Deleted invoices never appear in the sales, tax or gross profit reports, and this report is the only place they are listed. Which reports you see depends on your admin group permissions.
