# 73. Employee Report

[Employee Report](https://autosoftware.company/employee_reports.php) is your staff directory, one line per employee, carrying everything ARM holds about them — what they do, where they live, how to reach them, their date of birth, and who to call in an emergency. It is the only report in this section with no date range, because it describes people rather than a period. Use it to check a contact detail, to pull the emergency contact list, and to see at a glance who is active and what each person is set up to do.

## How do I run the Employee Report?

1. From the Home Screen, click Reports → Employee & Payroll Reports → Employee Report. It loads straight away — there are no dates to set.
2. Type into Search to find somebody by name.
3. Choose Type to narrow the list to Sales Person, Tech or Clerical, or leave it on All.
4. Choose Status. It opens on Active, so anyone who has left is hidden until you switch it to InActive or All. If somebody you expect is missing, look here first.
5. Click SEARCH to apply the filters. SHOW ALL clears them and reloads.
6. Click EXPORT to take the list into a spreadsheet. There is no Print on this report — the export is the only way to get it off the screen.

## How do I pull an emergency contact list?

1. From the Home Screen, click Reports → Employee & Payroll Reports → Employee Report.
2. Leave Type on All and set Status to Active, so the list covers everyone currently working for you.
3. Click SEARCH.
4. Scroll the table right to the EMERGENCY RELATIONSHIP, EMERGENCY CONTACT NAME and EMERGENCY CONTACT PHONE NO. columns, and read them against the employee names on the left.
5. Click EXPORT if you want it as a spreadsheet to keep somewhere the team can reach it.

## How do I find everyone set up as a technician?

1. From the Home Screen, click Reports → Employee & Payroll Reports → Employee Report.
2. Set Type to Tech and click SEARCH.
3. The list narrows to people whose EMPLOYEE TYPE includes Tech, including those who are also set up as a Sales Person or as Clerical.
4. Switch Status to All if you also want people who have left.

## About this screen

Beside the row count sits the line *Note: This report display Employee Information.*

The table is sixteen columns wide, so it scrolls sideways. Working from the left, each line shows the EMPLOYEE ID ARM gave the record, the EMPLOYEE NAME, the EMPLOYEE TYPE, the WORK POSITION, the EMPLOYEE NO. you gave them, and their ADDRESS, CITY, STATE and ZIP CODE.

EMPLOYEE TYPE and WORK POSITION are not the same thing. Type is what the person is set up to do in ARM and can hold more than one value at once — a line reading *Sales Person, Tech* means both, and *Clerical, Sales Person, Tech* means all three. It shows a dash where none has been set. Work position is a free description of the job they actually do, such as *Mechanic*, and is often left empty.

Carrying on to the right, the same lines show the MOBILE NO., EMAIL ADDRESS, then the emergency block — EMERGENCY RELATIONSHIP, EMERGENCY CONTACT NAME and EMERGENCY CONTACT PHONE NO. — followed by the DOB and the STATUS, which reads Active or InActive. The row at the foot of the table repeats the column headings; there is nothing to total on this report.

This report carries more personal data than anything else in the Reports menu — home addresses, dates of birth and next-of-kin details for your whole team. Treat a printed or exported copy the way you would a personnel file, and think before sending the spreadsheet on.

An employee who has been given no type at all shows a dash in EMPLOYEE TYPE and will not be found by any of the three Type filters, so run the report with Type on All if somebody seems to be missing. The ADD TO FAVORITES switch beside the report title saves a shortcut to the report under your favourites in the main Reports menu.
