# 59. National Fleet Account Customer Statement

[National Fleet Account Customer Statement](https://autosoftware.company/fleet_statement.php) is the account screen for your national fleet customers. Pick an account and it shows who they are, every invoice and payment on the account over a date range, and what is still outstanding. From the same screen you can print a statement, print an aging report, or email either one straight to the customer. Use it to chase an overdue account, to send a customer their monthly statement, and to see how a balance was arrived at invoice by invoice.

## How do I open a customer's statement?

1. From the Home Screen, click Reports → Fleet & Customer Reports → National Fleet Account Customer Statement.
2. Click the From : … To : … date box and pick the period the statement should cover, then click SEARCH.
3. In the panel on the left, choose Only Display Customers with Unpaid Balance to list just the accounts that owe you something, or Display All National Fleet Account Customers to list every one.
4. Type into the Customer box to find an account, or pick it from the list below. Each entry shows the account name with its balance in brackets, so you can see what is owed before you open it.
5. Click the account. Its details and transactions load on the right.

## How do I produce an aging report for an account?

1. From the Home Screen, click Reports → Fleet & Customer Reports → National Fleet Account Customer Statement, and choose the account.
2. Click AR AGING SUMMARY for a summary of what is owed and how long it has been outstanding, or ALL AGING REPORT for the full version.
3. ALL AGING REPORT opens a SELECT DATE FOR AGING REPORT box. Set Select Date to the date the aging should be worked out as at. Customer Email shows the address held for the account and cannot be edited here.
4. Click SUBMIT & PRINT PORTRAIT or SUBMIT & PRINT LANDSCAPE to open the report as a PDF in the layout you want.
5. Click Email Portrait or Email Landscape to send it straight to the address shown in Customer Email. These send the report to the customer as soon as you click them, so check the address first.

## About this screen

The panel at the top right holds the account itself: the Business Public Name, the Business Legal Owner's Name, the Business Number, the Address and the Fax Number, and beside them the Contact Name, Contact Phone Number and Contact Address for the person you deal with. These come from the customer's record, so correct them there rather than here.

Each line of the table below is one transaction. TRANSACTION DATE is when it happened and TRANSACTION TYPE says what it was — New Invoice or Payment — and that type decides which half of the line is filled in. An invoice fills the NEW INVOICE NUMBER, VEHICLE INFORMATION, NEW INVOICE AMOUNT, NEW DISCOUNT AMOUNT and NEW FINAL INVOICE AMOUNT columns. A payment leaves those empty and fills the columns to the right instead: the ORIGINAL INVOICE DATE and ORIGINAL INVOICE NUMBER it was paid against, the Original Balance, Discount Amount and Final Original Balance, then Prior Payments, Current Payment and the Invoice Balance left afterwards. Half of every row being blank is how the report is meant to look. BEGINNING OUTSTANDING BALANCE under the table is what the account owed before the first line.

The account list shows a balance beside each customer, and Outstanding National Fleet Account Customer Report shows an outstanding amount for the same accounts. The two are worked out differently and will not always agree, so use this screen when you need to see how a balance was built up transaction by transaction, and the outstanding report when you want the accounts ranked by what they owe.
