# 57. Order History

[Order History](https://autosoftware.company/order_history_report.php) Report lists your supplier orders, one line per order, with what each came to, whether it was raised by hand or by ARM, and whether it has been received. Where Order Details Report shows the parts inside an order, this shows the orders themselves. Use it to chase deliveries that have not arrived, to see what you have ordered from a supplier over a period, and to check how much of your ordering ARM is doing for you automatically.

## How do I run the Order History report?

1. From the Home Screen, click Inventory → Inventory Reports → Order History, or click Reports → Inventory Reports → Order History.
2. Click the From : … To : … date box and pick the first and last day of the period. Orders are counted by their ORDER DATE.
3. Type a supplier into Supplier Name to see that supplier's orders only.
4. Choose ALL ORDERS, PENDING ORDERS or RECEIVED ORDERS in the dropdown beside the dates.
5. Click SEARCH to load the report. SHOW ALL clears the filters and reloads.
6. Click any column heading to sort by it; click it again to reverse the order. Longer lists are split into pages with page links under the table.
7. Click [PRINT](https://autosoftware.company/mpdf/order_history_report_pdf.php) for a PDF copy or DOWNLOAD to export to a spreadsheet. Both appear only when the search returns rows.

## How do I find orders that have not arrived yet?

1. From the Home Screen, click Reports → Inventory Reports → Order History.
2. Set a date range wide enough to reach back to when the orders were raised.
3. Choose PENDING ORDERS in the dropdown and click SEARCH. The list keeps only the orders with no tick in RECEIVED? (Y/N).
4. Read down ORDER DATE for the oldest ones — those are the deliveries worth chasing — and use SUPPLIER NAME and PHONE NUMBER to make the call.
5. Choose RECEIVED ORDERS to look at the other side of it, or ALL ORDERS to see both together.

## How do I check what a period's ordering came to?

1. From the Home Screen, click Reports → Inventory Reports → Order History, and set your date range.
2. Leave the dropdown on ALL ORDERS and click SEARCH.
3. The first Total: above the table is the number of orders raised in the period. Example: 140.
4. The second Total: is the money value of them, adding up the ORDER TOTAL column across every order the filters returned. Example: $206,265.07.
5. To see what one supplier came to, type their name into Supplier Name and click SEARCH again; both figures are recalculated for that supplier.
6. For the parts behind these orders rather than the orders themselves, run Order Details Report over the same dates.

## About this screen

Each line shows the ORDER NO., the ORDER DATE it was raised, the SUPPLIER NAME and their PHONE NUMBER, the ORDER TOTAL the order came to, the ORDER TYPE, whether it has been received under RECEIVED? (Y/N), and the RECEIVED DATE it arrived. ORDER TYPE reads Manual Order where somebody raised the order themselves and Automated Order where ARM raised it from stock levels. Two figures sit above the table, both labelled Total:: the first is the number of orders listed, the second the money value of them. Both follow whichever filters you have set.

RECEIVED? (Y/N) shows a tick against an order that has been received and is left empty against one that has not, so read an empty cell as "not yet received" rather than as missing information. RECEIVED DATE is filled in on the same lines that carry a tick and is empty on the rest. The two together are the quickest way to spot an order that has been sitting outstanding.

An order that is still pending often shows an ORDER TOTAL of $0.00, because the value is settled when the delivery is received and priced. That is why the money Total: for a pending list is usually much smaller than the number of orders would suggest — it is the value already settled, not the value on its way.

The PDF uses Is Received in place of RECEIVED? (Y/N) and Phone in place of PHONE NUMBER, with the same tick against the orders that have arrived.

The ADD TO FAVORITES switch beside the report title saves a shortcut to the report under your favourites in the main Reports menu.
