# 8. Payment Receive Report

The [Payment Receive Report](https://autosoftware.company/all_payment_report.php) (its heading reads Payment Received Report) lists every payment taken on an invoice, one line per payment, with the date it was received, the amount, the payment type, the customer, the user who recorded it and the invoice it was applied to. Unlike the sales reports, which work by invoice, this report works by payment, so an invoice paid in two parts appears twice and a deposit taken on a draft invoice appears on the day it was taken. Use it to see what money came in on a day or a week, to check what one customer has paid, to see which payment types were used, and to see which user took each payment.

## How do I run the Payment Receive Report?

1. From the Home Screen, click Reports → Sales & Financial Reports → Payment Receive Report.
2. Choose the dates. Payment Date filters by the day the payment was received; Invoice Date filters by the date of the invoice the payment belongs to. When you set no Payment Date, the report opens on invoices dated from the first day of the current month through today. Click either From : … To : … box to pick a range, or use its presets such as Today, Yesterday, This Week, Last Week, This Month, Last Month and From Beginning; the × beside a box clears it.
3. To narrow the list, type part of a name into Customer Name, pick one or more payment types in Select Payment Method, or pick a user in Receive By to see only the payments that user recorded.
4. Click Search. Click Show All to clear the filters and reload the default range.
5. Read the summary above the table: Total is the number of payments listed and Total Amount is their sum.
6. Click any column heading to sort by it; click it again to reverse the order.
7. Click [Print](https://autosoftware.company/mpdf/payment_receive_report_pdf.php) for a PDF copy in a new tab, or Download to export the list to a spreadsheet.

1. From the Home Screen, click Reports → Sales & Financial Reports → Payment Receive Report.
2. Type part of the customer's name into Customer Name and clear or widen the two date boxes.
3. Click Search. Each line is one payment by that customer with the invoice it was applied to.

## How do I see which payments a user took?

1. From the Home Screen, click Reports → Sales & Financial Reports → Payment Receive Report.
2. Set the Payment Date range, pick the user in Receive By and click Search.
3. Total and Total Amount are the number and value of payments that user recorded in the range, and each line shows the payment type used.

## About this screen

Each line shows the Payment No. (ARM's running number for the payment entry), the Payment Date it was received, the Amount, the Payment Type (Cash, a card type, Check, Gift Card, Fleet Charge and so on), the Reference Number entered with the payment, such as a check number or authorization code, the Customer Name on the invoice, Received By, which is the ARM user logged in when the payment was recorded, and the Invoice No. and Invoice Date of the invoice the payment was applied to. The row under the last payment repeats the column headings and carries the total of the Amount column for the list. Payments that were later deleted are not listed; the Payment Log Report in the same section shows those.

The Add To Favorites switch beside the heading saves the report under Favorites on the Reports page. [Download](https://autosoftware.company/export_report.php) asks for the permission password first when your store protects downloads. Which reports you see depends on your admin group permissions.
