# 37. Used Smog Certificate Report

The [Used Smog Certificate Report](https://autosoftware.company/smog_certificate_report.php) lists every smog certificate the shop has written onto an invoice, one line per certificate, with the invoice, the certificate numbers, the inventory batch it came from, the date it was used, whether the vehicle passed or failed, the vehicle and the customer. Certificates are numbered stock, so the report is how the shop accounts for them: every number taken from a batch should appear here against an invoice. Use it to reconcile the certificates used against the Smog Certificate Inventory, to answer a state inquiry about a certificate number, and to find the invoice a certificate was issued on.

## How do I run the Used Smog Certificate Report?

1. From the Home Screen, click Reports → Management & Operational Reports → Used Smog Certificate Report.
2. Click the From : … To : … box beside Date Used and pick the dates the certificates were used; click the box beside Invoice Date and pick the invoice dates. A certificate is listed when either its date used or its invoice date falls in its range. Both open on the current month. The × beside a box clears it.
3. In the first dropdown choose Pass or Fail to see certificates on vehicles that passed or failed, or leave All Certificate. In the second choose Used (the default) for certificates in use, Void for certificates that were removed or replaced on an invoice, or Select Type for both. The report reloads when a dropdown changes.
4. To find one certificate, type the certificate number, batch number, invoice number, customer name or vehicle model into Search Text and click Search.
5. Click Show All to keep the dates and clear the search and dropdowns.
6. Click any column heading to sort by it; click it again to reverse the order. Total: above the table is the number of certificates listed, and long lists are split into pages with page links under the table.
7. Click [Print](https://autosoftware.company/mpdf/smog_certificate_report_pdf.php) for a PDF copy in a new tab; the button appears only when the list has rows.

## How do I trace a certificate number?

1. From the Home Screen, click Reports → Management & Operational Reports → Used Smog Certificate Report.
2. Choose From Beginning in the Date Used picker so the date does not limit the search, set the second dropdown to Select Type so voided certificates are included, type the certificate number into Search Text and click Search.
3. The line shows the invoice it was used on, the date, the batch and whether the vehicle passed. Click Print if a copy is needed for the inquiry.

## About this screen

Each line shows the Invoice# and Invoice Date, the Smog Stock Cert# (the certificate number taken from the shop's stock) and the Smog Cert# (the second certificate number entered on the invoice), the Batch Number of the inventory batch the certificate came from (a dash when it was not taken from a batch), the Date Used, which is when the number was saved on the invoice, the Status (Pass when it was entered as the passed certificate, Fail as the failed one), the vehicle's Year, Make and Model, and the Customer Name. A certificate is voided in this report when the number is removed or changed on the invoice, or the invoice is voided or deleted; voided certificates are shown only with Void or Select Type chosen.

The Add To Favorites switch beside the heading saves the report under Favorites on the Reports page. Certificate batches are entered under Smog Certificate Inventory. Which reports you see depends on your admin group permissions.
