Ordering Parts (Manual vs Automated)

Order Parts offers two ways to build a purchase order. A Manual Order is you picking each part yourself, which suits a short list from one vendor. An Automated Order lets ARM build the order from your stock levels and usage history, which is what most shops use day to day. Both end on the same three-step screen, so the order looks and saves the same either way.

How do I create a manual parts order? #

  1. From the Home Screen, click Inventory → Order Parts.
  2. Click Manual Order.
  3. On Step 1 Select Vendor and Category, start typing in Select Vendor, pick the vendor from the list, and click Apply.
  4. On Step 2 Add Items, ARM fills in the Order Number, the order date, and the Supplier Info block from the vendor record.
  5. Click Add An Item To This Order to open the Item Information panel.
  6. Choose the Product Category, then the Part Number. ARM fills in Part Description, QTY on Hand, Min Suggested QTY, Min Pack Size, and Part Cost(Each) $.
  7. Enter the Order QTY, and change Part Cost(Each) $ if the vendor's price has changed.
  8. Click Add Another Item to put the part on the order and enter the next one, or Cancel to discard it.
  9. Add anything the vendor needs to know in Enter Comment. Order Total $ updates as lines are added.
  10. Click Save.

How do I create an automated parts order? #

  1. From the Home Screen, click Inventory → Order Parts.
  2. Click Automated Order.
  3. On Step 1 Select Vendor and Category, type the vendor into Select Vendor.
  4. Under Select Category, check each category to include — for example Air Filters and Cabin Air Filters — or check Select All. Use the Search box if you have a long list.
  5. In Please Enter The Number Of Prior Weeks (Max = 9), enter the look-back for the actual-usage calculation. ARM totals what you used in those weeks and orders that exact quantity.
  6. In Enter Number Of Weeks For Calculating Historical Usage Order (Max=52), enter the look-back for the historical average. ARM divides the quantity used by the number of weeks to get a weekly stocking level, then orders enough to reach it, rounding up to the pack size.
  7. Click Apply. ARM builds the order and opens it on the Step 2 Add Items screen.
  8. Review the lines. Change any Order QTY, remove a line with the red delete icon, or click Add An Item To This Order to add a part ARM did not include.
  9. Click Save.

  3. Save & Exit — keep the order in ARM for review or approval later.
  4. Save & Print — print a copy for verification.
  5. Save & Email — email the order out as a PDF.
  6. Click Back if you need to return to the order and change something first.
About this screen

Parts set to Stock Level Method in Parts are added whenever QTY on Hand falls below the Min Suggested QTY, rounded up to the pack size. The order method on each part record decides which calculation applies to it.

Where a Save & Email order lands depends on the Vendor Email on that vendor's record: the supplier's address sends it straight to them, while an owner's or area manager's address sends it for approval first.
