Accessing Invoices

The Invoices menu is where every job in the shop starts and ends. Add Invoice opens a new invoice or quotation for a customer and vehicle, Invoice List finds the invoices you have already written, Quotation List holds the quotes you have given, Customer History shows what each customer has spent, and Non-Fleet Customer keeps your list of everyday retail customers. The Home Screen also has shortcut buttons for the most used of these: NEW INVOICE & QUOTE, INVOICE LIST and QUOTATION LIST.

What is the difference between a draft, a finalized invoice, a quotation and a quick sale? #

  1. From the Home Screen, click Invoices → Invoice List.
  2. A Draft is an invoice that is still being worked on. You can add and change services, parts and labor at any time. The list opens on the Draft view.
  3. A Finalized invoice has been paid in full and closed. It can only be changed with the owner's permission.
  4. A Quotation is a price you give a customer before they agree to the work. It has its own Quotation # and lives in Invoices → Quotation List until you convert it into an invoice.
  5. A Quick Sale is a counter sale with no vehicle, such as a bottle of additive. It is started from the Quick Sales button on Add Invoice.
