Taking a Payment

The PAYMENT button opens Apply Payment. It shows three numbers: the BALANCE DUE on the invoice, the payment you ENTER, and the BALANCE AFTER it. You choose the payment method from your shop's list, such as CASH, a card terminal, CHECK or a fleet charge. You can take as many payments as you need, for example part cash and part card, but an invoice can only be finalized once the payments add up to the Total Gross Invoice. For a fleet customer who pays later, the fleet charge counts as payment and is added to the account's balance.

How do I take a payment? #

  1. From the Home Screen, click Invoices → Invoice List and open the invoice.
  2. Click PAYMENT.
  3. Check the Payment Date. A date other than today may need a password.
  4. The full BALANCE DUE is filled in under ENTER PAYMENT. Change it to take part of the balance.
  5. Click the method under SELECT PAYMENT METHOD. For CASH, enter what the customer hands you and ARM works out the change; for a check, enter the Check Number.
  6. Add a note in ENTER A NOTE if you like.
  7. Click SAVE PAYMENT. For a card terminal, click the terminal's button instead and follow the terminal.
  8. The payment appears in PAYMENT HISTORY, and a receipt is texted or emailed to the customer if your shop has that switched on.
