Employee Time Sheet Log

Employee Time Sheet Log is the audit trail behind the time sheets, one line for every clock event and every later amendment, newest first. It records what happened, which day's time sheet it belongs to, who it was for, what the time or the hours were set to, and who put it there. Use it to answer the questions a time sheet on its own cannot — when somebody actually clocked in, whether a day was edited after the fact, and who edited it.

How do I run the Employee Time Sheet Log? #

  1. From the Home Screen, click Reports → Employee & Payroll Reports → Employee Time Sheet Log. The screen is headed TIMESHEET CHANGE LOG REPORT.
  2. Click the From : … To : … date box and pick the period. It opens on the first of the current month through today, so unlike most reports it has something in it straight away. Entries are picked up by the date the entry was recorded, not the day being worked — so an edit made in September to an August time sheet appears under September.
  3. Pick a name in ALL EMPLOYEES to follow one person. The list shows each name with their employee number beside it.
  4. Type into SEARCH... to match on an employee's name, on the name of whoever made the change, or on the event type.
  5. Click SEARCH to load the report. Unlike the other filters on this report, the employee list does not reload on its own — press SEARCH after choosing a name. SHOW ALL clears the filters and reloads on the same dates.
  6. There is no Print and no Download on this report. To keep a copy, take a screenshot or work from the screen.

How do I check whether a day's hours were edited after the event? #

  1. From the Home Screen, click Reports → Employee & Payroll Reports → Employee Time Sheet Log.
  2. Set the date range wide enough to cover both the day worked and the weeks after it, since an amendment is recorded on the day it was made, not the day it changed.
  3. Pick the employee in ALL EMPLOYEES and click SEARCH.
  4. Find the rows whose Timesheet Date is the day in question. There will usually be several — one for each clock event.
  5. Read Change Details down those rows. Plain bold values mean the day was clocked and left alone. An arrow means a time was altered, and the figure to its left is what it used to say.
  6. Read Changed By on that row for who made the change, and Changed Date/Time for when. A row attributed to System was written by ARM rather than by a person.

About this screen

Each line shows the Changed Date/Time the entry was written, to the second; the Timesheet Date it belongs to, which is the day being worked and is often earlier; the Employee it is about, with their employee number underneath; the Event Type; the Change Details; and Changed By, the person signed in when it was recorded, or System where ARM wrote it itself.

Event Type is one of five: Work, Lunch Break, Rest Break, Clock-Out Temporarily and End of Day. They are the same events that make up a day in the Clock In/Out History popup on the Employee Time Sheet Daily Report, so a day's line-up there can be traced entry by entry here.

Change Details is written differently depending on whether something was set or something was altered. When a value is recorded for the first time it appears in bold after In:, Out: or Hours: — `In: 10:43 AM`, or `Out: 05:00 AM` with `Hours: 6.28` under it. When a value that was already stored is changed to a different one, the old and the new are shown either side of an arrow — `In: 08:00 AM → 08:15 AM` — so an amendment is visible at a glance rather than having to be worked out. The arrow only appears on a genuine amendment; a day that was clocked normally and never touched again shows plain values all the way down. Under either, in grey italics, ARM adds a short note of what happened: *Employee clocked in*, *Employee Clocked Out*, or on an edited day something like *End of day updated (Entered through Past Attendance Data)*.

The date box will not let you start earlier than the day your store's records begin. Where a day was entered through Past Attendance Data rather than clocked live, the log still carries a full set of entries for it, with the note in grey italics saying so — the log records what ARM was told, not only what was clocked at the time. The ADD TO FAVORITES switch beside the report title saves a shortcut to the report under your favourites in the main Reports menu.
