Gross Profit Detail Report

The Gross Profit Detail Report lists every package sold on a finalized invoice in a date range, one line per package per invoice, with what was charged for parts and labor, what the parts cost the shop and the gross profit that was left. It is the invoice-level view behind the Gross Profit (Finalized) Report, which sums the same figures by package, and it is where you go when a package's margin looks wrong and you need to see which job caused it. Use it to check the profit on a single invoice, to find jobs where an outside part purchase ate the margin, and to review a package's pricing against real costs.

How do I run the Gross Profit Detail Report? #

  1. From the Home Screen, click Reports → Management & Operational Reports → Gross Profit Detail Report.
  2. Click the From : … To : … date box and pick the first and last day of the period; the report counts invoices by their finalized date. It opens on the current week, Monday to Sunday. The × beside the box clears the dates.
  3. To see one package only, type its name into Search and pick it from the suggestions that appear, then click Search. The name must match the package exactly.
  4. Click Search to load the report. Click Show All to clear the filters and return to the current week.
  5. Click Invoice#, Package Name or Finalize Date in the heading to sort by that column; click it again to reverse the order. Longer lists are split into pages with page links under the table.
  6. Click Print for a PDF copy in a new tab. The button appears only when the report has rows.

How do I check the margin on one package? #

  1. From the Home Screen, click Reports → Management & Operational Reports → Gross Profit (Finalized) Report, run it for your date range, and click the underlined PACKAGE NAME. The Gross Profit Detail Report opens in a new tab already filtered to that package and those dates.
  2. Read down Gross(%): the red lines are the invoices where the package was sold at a poor margin. Compare Part Amount with Purchase Cost on those lines to see whether the price or the part cost was the problem.
  3. Click Print to keep a copy for a pricing review.

How do I work out the purchase cost and gross profit on one line? #

  1. From the Home Screen, click Reports → Management & Operational Reports → Gross Profit Detail Report, run it for your date range and pick one line, which is one package on one invoice.
  2. Part Amount is the part charge of every part line of that package on that invoice, after the part discount on each line. Example: two parts at $150.00 and $60.00 with a $10.00 discount on the first give $200.00.
  3. Labor Amount is the labor charge of the package's labor lines on that invoice. Example: $95.00.
  4. Purchase Cost is built part by part. If the part was bought outside for this job, ARM takes the cost entered on that outside part purchase in Expenses (and, when only some of the quantity was bought outside, the stock cost for the rest). If the part came from stock, ARM takes the cost of the stock lots it was drawn from, quantity by quantity. Example: the first part was bought outside for $80.00, the second came from stock at $22.00, so the purchase cost is $102.00.
  5. Gross Profit is parts plus labor less purchase cost: $200.00 + $95.00 − $102.00 = $193.00.
  6. Gross(%) is gross profit divided by parts plus labor, times 100: $193.00 ÷ $295.00 × 100 = 65.42. The colour follows the profit thresholds set for your store: green above the high mark, orange between the marks, red below the low mark.
  7. The foot row adds up the parts, labor, purchase cost and gross profit of the lines listed and works the overall percentage from those totals.

About this screen

Total: above the table is the number of lines listed. Each line shows the Invoice#, the Package Name, the Finalize Date of the invoice, the Part Amount charged for the package's parts on that invoice after any part discount, the Labor Amount charged for its labor, the Purchase Cost of those parts, the Gross Profit (part amount plus labor amount, less purchase cost) and Gross(%), the gross profit as a percentage of the part and labor amount together. The purchase cost is taken from what the shop really paid: for a part bought outside for the job it is the cost recorded on the outside part purchase in Expenses, and for a part taken from stock it is the cost of the stock it was drawn from. Gross(%) is colour coded, green for a strong margin, orange for a moderate one and red for a low one, using the profit thresholds set for your store. Only finalized invoices count; drafts, voided and deleted invoices are left out. The foot row sums the part, labor, purchase cost and gross profit columns and shows the overall gross percentage for the lines listed.
