Inventory Usage History

Inventory Usage History shows how much of each part you got through over a period, one line per part, alongside what it costs, what it sells for and how much of it you are still holding. Sort it by usage and the parts your shop really runs on come to the top. Use it to decide what to stock and how deep, to check that a fast-moving part's minimum quantity is set high enough, and to see what you are using from each supplier.

How do I run the Inventory Usage History report? #

  1. From the Home Screen, click Inventory → Inventory Reports → Inventory Usage History, or click Reports → Inventory Reports → Inventory Usage History.
  2. Click the From : … To : … date box and pick the first and last day of the period. Usage counts what was issued within those dates.
  3. Type a part number into PART NUMBER, or pick categories in Select Category, to narrow the report. Leave both alone to see every part.
  4. Click SEARCH to load it. SHOW ALL clears the filters and reloads.
  5. Click any column heading to sort by it; click it again to reverse the order. Longer lists are split into pages with page links under the table.
  6. Click PRINT for a PDF copy or DOWNLOAD to export to a spreadsheet. Both appear only when the search returns rows.

How do I find the parts my shop uses most? #

  1. From the Home Screen, click Reports → Inventory Reports → Inventory Usage History, and set a date range long enough to be representative — a quarter or a year rather than a week.
  2. Click SEARCH.
  3. Click the Usage heading. Click it a second time if the smallest figures come up first, so the list runs from most used down.
  4. Read the top of the list against Total Stock On Hand and Min Sugg Qty: a part with heavy usage and a low minimum is one you will keep running out of.
  5. Click PRINT or DOWNLOAD to take the list into a stocking review.

How do I read usage against what I am holding? #

  1. From the Home Screen, click Reports → Inventory Reports → Inventory Usage History, run it for your date range and pick one line.
  2. Usage is the quantity of that part issued to invoices between your two dates. Example: 25.00 over the period.
  3. Total Stock On Hand is what you are holding now, today, not at the end of the range. Example: 2.00.
  4. Read the two together to see how long your stock will last: 25.00 used over a quarter is a little over eight a month, so 2.00 on the shelf is about a week's worth.
  5. Min Sugg Qty is the level at which the part should be reordered. Example: 2.00. Where usage is heavy and the minimum sits this low, raise it.
  6. Item Cost and Sales Price are the figures ARM holds for one of the part today. Multiply either by Usage if you want what a period's usage cost you or earned you, and remember the report does not do that arithmetic for you.
About this screen

Each line shows the Category the part belongs to, its Part Description and Part Number, the Item Cost ARM holds for one, the Sales Price you charge, any Premium Charge added to it, the Usage — the quantity issued in the date range, which is what the report is really about — the Total Stock On Hand you are still holding, the Supplier Name it is bought from, the Min Sugg Qty below which it should be reordered, the Pack Size it comes in, and the Order Method ARM uses to reorder it, either Stock Level Method or Actual Usage.

The Total: row at the foot of the table adds up two columns only, Usage and Total Stock On Hand; the other ten are left blank because a price or a pack size has nothing useful to add up. It totals the page you are looking at, not the whole report. With the list split over several pages, paging forward changes the figure. To total usage across a whole period, click DOWNLOAD and sum the Usage column in the spreadsheet.

The printed PDF carries the same columns and the same lines, but no Total: row. Some parts show a negative Total Stock On Hand, which happens when more has been issued than ARM was told had been received; those parts are worth counting with Inventory Manual Count.

The ADD TO FAVORITES switch beside the report title saves a shortcut to the report under your favourites in the main Reports menu.
