Outstanding Local Fleet Account Customer Report

Outstanding Local Fleet Account Customer Report lists the local fleet accounts that owe you money, one line per account, with how much is outstanding, who to call about it, and the credit terms the account was given. It has no date range because it describes what is owed now. Use it to work through your debtors, to see whether an account has gone past the terms it was set up on, and to check an account's credit limit against what it has already run up.

How do I find the accounts that owe me most? #

  1. From the Home Screen, click Reports → Fleet & Customer Reports → Outstanding Local Fleet Account Customer Report.
  2. Click SEARCH with Status on ACTIVE to list the accounts still trading.
  3. Click the Outstanding Amount heading. Click it again if the smallest figures come up first, so the largest debts sit at the top.
  4. Read each line against its Credit Limit: an outstanding amount close to or above the limit is the one to deal with first. Net Terms tells you how long they were given to pay.
  5. Use Contact Number, Phone Number and Email Address on the line to chase them, and click PRINT or DOWNLOAD to take the list away.

How do I work out what the report is telling me about one account? #

  1. From the Home Screen, click Reports → Fleet & Customer Reports → Outstanding Local Fleet Account Customer Report, and pick one line.
  2. Outstanding Amount is what that account owes you. ARM works it out when you run the report, from the fleet payments recorded against the account, less any payments taken in advance, plus the account's opening balance. Example: $2,000.00.
  3. Credit Limit is the ceiling set on the account in the customer's record. Example: $5,000.00. Comparing the two shows how much room is left — here $3,000.00.
  4. Net Terms is the number of days the account has to pay. Example: 15. A - means no terms were set, so nothing marks the account as late.
  5. Total Outstanding Amount above the table adds the Outstanding Amount of every account the filters returned. Example: four accounts at $2,000.00, $27.00, $261.87 and $431.88 give $2,720.75.
  6. The foot row totals the credit limits the same way, so you can see the exposure you have granted against the amount actually owed.
About this screen

Above the table, Total: counts the accounts listed and Total Outstanding Amount adds up what they owe between them. Each line shows the Customer Name, the Outstanding Amount still on the account, the Contact Number and Phone Number to reach them on, their Email Address, the Credit Limit the account was given and its Net Terms — the number of days they have to pay, shown as - where no terms were set. The row at the foot repeats the column names and carries two totals: the outstanding amount again, and the total of the credit limits.

Take the figures on screen as the authoritative ones. The printed PDF works its outstanding amounts out a different way — it reads a balance stored against the customer rather than recalculating it — so an account whose stored balance is out of date can appear on the printout but not on screen, or carry a different figure. Where the two disagree, the screen is the one that has just been calculated. The PDF is also headed Outstanding Local Fleet Customer Report, and names the columns Phone and Email, and its foot row totals the credit limits but not the outstanding amounts.
